Job Description:

Experienced in veterinary medicine, in this administrative role, you will be the first face & voice our referred clients see & hear, meaning you will be the advocate for the client and your team. You will be responsible for the accurate check-in of our patients, request and update records, schedule appointments, process payments, build supportive relationships with our clients’ family veterinary hospitals, and occasionally visit local hospitals to provide referral support and treats. Outstanding customer service, computer skills, and attention to detail are required. As a client experience specialist, the perfect candidate will be emotionally intelligent and able to provide support to our clients to ensure a great experience every time.

Duties and Responsibilities:

  • Check-in animal patients
  • Gather pet and owner information
  • Request and maintain records from referring partner hospitals
  • Schedule appointments
  • Process payments
  • Connect with referral partners to build supportive relationships with the veterinary community
  • Gather photographs and other content for social media
  • Prepare prescription requests when needed
  • Perform other administrative tasks as directed by the Front Office Manager

Qualifications:

  • High school diploma or equivalent
  • Experience in the veterinary field for 3+ years
  • Experience with Cornerstone & SmartFlow a plus
  • Outstanding Customer service skills
  • Passion for working with people and their pets

General Knowledge:

  • Know the range of services the practice provides and the species it treats.
  • Be familiar with breeds and coat colors.
  • Follow OSHA standards.
  • Know and use standard medical and business abbreviations.
  • Use proper medical terminology when speaking and writing.
  • Know the policies regarding provision of veterinary care, treatment of stray animals, deposits for hospitalized patients, payments, Care Credit, pet health insurance.
  • Competently speak and write the English language.
